All Kode With Klossy instructional leaders are required to track their time in TriNet for Summer 2026. This is a change from previous years, when only IAs were required to do so. This guide walks you through when and how to log your hours, overtime approval, and the Summer 2026 payroll calendar. Review this guide before camp starts to understand how and when to log your hours.
IL Attendance Policy
Attendance at all 10 days of camp is required. As an Instructional Leader, your presence is essential to the scholar experience and the integrity of our program.
If you anticipate being absent for any reason, including a medical appointment or planned obligation, you must submit a time-off request at least 24 hours in advance. If you are unexpectedly ill on the day of camp, please complete the request as soon as possible.
All time-off requests must be submitted and approved through the Time-Off Request workflow in Slack.
Absences that are not submitted through this workflow and approved in advance will be considered unexcused. If you have questions about the attendance policy, please reach out to instruction@kodewithklossy.com.
How to Track Time
All time is logged through your TriNet timesheet. Log in at login.trinet.com and navigate to your timesheet. For TriNet account setup and direct deposit, see the separate TriNet: General Guide.

Time Tracking Expectations
Pay periods run Sunday–Saturday. Record each day's hours under that same date in your timecard.
Prep Week (Week Before Camp Starts)
You may begin logging your prep hours, up to 10 hours total, as early as Monday of the week before camp starts. Log only active working time — no breaks, meals, or idle time. Example: If your camp starts Monday, June 1, 2026, you can begin logging on Monday, May 25, 2026.

During Camp
Log your hours at the end of each day. Time should reflect actual working hours only, excluding lunch and breaks. Example for a virtual camp: 9:00 AM – 12:00 PM, 12:45 PM – 4:30 PM, plus up to 1 hour for the After Party, if applicable.
Overtime
Overtime exceeding 48 hours in a workweek must have prior approval before working that additional time. Email instruction@kodewithklossy.com to request pre-approval.
Submission Deadlines
Submit your timecard by 5:00 PM ET on the Timecard Due Date listed in the calendar below to ensure you are paid on time.
Late submissions will delay your payment. Any changes after the timecard due date must be made manually. If you have missing hours, please email instruction@kodewithklossy.com to resolve.
Only press Submit once you have logged all required hours for that pay period. If you need to change any logged time after submitting, you must make a change request directly in the timesheet.

Reminders & Best Practices
- Log your hours at the end of each day. Do not wait until the end of the week. Daily entry keeps your totals accurate and prevents last-minute errors before the submission deadline.
- Log only actual working time. Do not include breaks, meals, or idle time. For a virtual camp, this looks like 9:00 AM – 12:00 PM, 12:45 PM – 4:30 PM, plus up to one hour for the After Party if applicable.
- Log hours on the day you actually worked them. Do not shift hours to match a pay period boundary, even if it feels simpler in the moment.
- Double-check your dates and totals before submitting. Monitor your weekly total in TriNet as you go so nothing surprises you at the end of the pay period.
- Only press Submit when your timecard is complete. Once you submit, any changes require a change request directly in the timesheet. If you have missing hours after the due date, email instruction@kodewithklossy.com to resolve.
Frequently Asked Questions
What should I do if I’m working back-to-back camps and my prep week is the same week as a camp that I’m working?
Two prep weeks share a pay period with the preceding wave's final week. The overlap periods to be aware of are 7/12–7/18 (Wave 2 Week 2 and Wave 3 Prep Week) and 7/26–8/1 (Wave 3 Week 2 and Wave 4 Prep Week). Submit a single timecard for that pay period reflecting the hours you actually worked each day. The timecard is due by 5:00 PM ET on the date listed in the calendar, regardless of which wave the hours belong to.
What happens if I submit my timecard late?
Late submissions will delay your payment. Any changes after the timecard due date must be made manually. If you have missing hours, email instruction@kodewithklossy.com to resolve as quickly as possible.
What if I need more than 10 prep hours?
Email instruction@kodewithklossy.com before logging any additional time. Do not log hours beyond the 10-hour prep week limit without prior approval.
What if I think I will exceed 48 hours in a workweek?
You must request approval before working any overtime. Overtime worked without prior approval may not be paid. Email instruction@kodewithklossy.com in advance.
What should I do if I need to be absent from camp?
